AI Receptionists for a Solo or Small Practice

AI Receptionists for a Solo or Small Practice

Most Buying Advice Is Written for Someone Bigger

Search for how to choose an AI receptionist and you will be handed a framework built around provider counts, multi-location routing, per-site analytics and enterprise security review. That advice is not wrong. It is just written for a buyer who is not you.

A solo dentist with one hygienist and a part-time front desk is making a different decision, under different constraints, with nobody to delegate the evaluation to. This is that version of the article.

We have a general framework too, covering the five facts that decide which AI receptionist fits a practice. Three of those five facts largely collapse at your size. Here is what is left.

The Three Things That Stop Mattering at One Provider

Per-provider pricing. One of the biggest cost variables in this category is how a plan meters providers. At six providers it is the whole negotiation. At one or two, it matters far less. What matters more is whether the plan you can afford covers every provider you have now and the associate you might add next year, without a conversation.

Multi-location routing. Cross-location overflow, centralised dashboards, per-site identity: none of it applies today. It is worth knowing it exists if you expect to open a second site, and not worth paying extra for until you do.

Procurement process. You are not running a security review, and you do not have a compliance team. That is a real efficiency, but it does cut both ways, and there is one document you should still insist on. See the BAA note further down.

What Replaces Them: What You Spend Before You Know

At your size the deciding question is rarely the headline monthly fee. The question is how much you have to commit before you have heard the system answer a real call in your own practice, about your own schedule.

That is the thing a comparison table almost never puts in a column, and it is worth asking about before you ask about anything else.

There are three gates:

  1. Can you hear it on your own phones before you are locked in? A recorded demo is not a test. A live sandbox on a fake practice is not a test. A real test is the system answering your phone number for your patients, booking into your schedule.
  2. Is it month to month, or annual? An annual commitment at a lower monthly rate is a good deal if it works and an expensive mistake if it does not. On a first term, month to month protects you.
  3. What is in the base plan? The entry price only means something if it includes what you watched in the demo. Check whether after-hours answering, other languages, outbound calls (such as recall outreach to overdue patients) and text follow-ups sit in the plan you are quoted or in a higher one.

What Our Entry Plan Looks Like

GetHelpdesk.AI has one plan, and it is published on our pricing page rather than quoted after a sales call.

  • $399 a month, flat, month to month. No annual lock-in on your first term or any other.
  • The first month is free. You hear it answer your own patients, and book into your own schedule, before you pay anything.
  • Up to 600 inbound calls a month. Count a normal month of your own calls to see where you sit against that.
  • No per-minute billing and no after-hours surcharge. A long call from an anxious patient is not metered by the minute, and nights, weekends and closed days are covered at the same price.
  • Everything in the one plan. Outbound calling, SMS follow-ups, a website chatbot, 25+ languages detected automatically, and a dashboard with a transcript and summary for every call.

The part that matters most at your size is how it books. GetHelpdesk.AI writes appointments directly into your practice management system and follows your own appointment types, provider hours and block-outs. That is worth more to a small practice than to a large one, because small practices tend to have the most idiosyncratic schedules. When the rules live in one person’s head rather than a written template, a system that respects them is the difference between a booking you keep and one your front desk has to fix.

The Cap That Bites Six Months Later

Entry plans in this category keep their headline price low by limiting something. Read which one, because the limit you ignore now is the invoice you argue about later.

  • Provider limits. If a plan covers a set number of providers, check what happens when you add an associate, before you sign an annual term.
  • Minute or credit limits. Some plans are metered by answered minutes, or by credits that different activities draw on at different rates. Work out what your real call length does to that allowance, and what the rate is once it runs out.
  • Call limits. A low call allowance can look generous until you count your lunch rush and your Monday mornings.
  • Language tiers. Check which languages sit in the base plan rather than the count on the marketing page.

Ours is a call allowance: $399 covers up to 600 inbound calls a month, with no per-minute billing inside it, and every language, channel and hour in the same plan.

Whichever pricing shape you are looking at, model it on your busiest month rather than your average one. The most common spike is the one you cause yourself by running a marketing campaign. For the full picture of how pricing models in this category work, see how AI receptionist pricing works.

Prefer a Price You Can Read at Midnight

A solo dentist does their evaluation in the evening, after the last patient. A published price, published terms and a published list of supported systems let you do most of the work on your own time. If you have to book a call to find out the price, expect a sales process designed for a buyer with a procurement committee, and weigh that against the hours you do not have.

Two Checks Before You Spend Anything

  • Is your practice management system supported? This comes before price. GetHelpdesk.AI supports 16 practice management systems, each with its own published support page, and books directly into Open Dental, Dentrix, Eaglesoft, iDentalSoft and more. We are also listed as an Authorized vendor on Open Dental’s register. Find your system on our integrations page and read what it supports before you book a demo with anyone.
  • Do you actually miss calls? If you take very few calls a month and miss almost none, the case is thin. Run the numbers properly with our guide to calculating the return on an AI receptionist before you commit.

The One Piece of Procurement You Should Not Skip

You are not running a security review, and you do not need to. But a system that answers your phone is handling protected health information, and you should have a signed business associate agreement before it takes its first call. Ask for it in writing, from any vendor, at any size. A vendor who will not sign one is telling you something important.

GetHelpdesk.AI is HIPAA compliant, signs a BAA, and encrypts data in transit and at rest. Our wider write-up is in HIPAA compliance for AI receptionists.

Five Calls to Make Before You Sign

Whichever system you shortlist, these five take twenty minutes and are worth more than any demo. With GetHelpdesk.AI you can make all five during your free first month.

  1. Call as an existing patient from a number already on a chart. Check whether it recognises you and how much it asks you to repeat.
  2. Call as a new patient and book. Then open your own schedule and look at what landed: the operatory, the provider, the appointment type, the duration. Not the vendor’s dashboard. Yours.
  3. Call with a question it should not answer, such as whether a specific symptom is serious. It should take a message or escalate, not improvise.
  4. Call at 11pm. Confirm what it does out of hours, and whether that differs from daytime.
  5. Ask what happens when your practice management system is down or restarting. A good answer is that calls keep being answered and bookings are not lost.

FAQs

Is an AI receptionist worth it for a solo dentist? It depends almost entirely on how many calls you currently miss. A solo practice that answers nearly every call has little to gain. A solo practice where the one person at the desk is also checking patients in, taking payments and answering the phone usually misses calls in predictable clusters around lunch and the end of the day, and that is exactly the recoverable pool.

What should a small practice expect to pay? GetHelpdesk.AI is $399 a month, flat, month to month, with the first month free and up to 600 inbound calls a month. When you compare plans, price the one that includes the hours, languages and channels you actually need, not the entry tier on the headline.

Should I take an annual plan to save money? Not on the first term. Take month to month until you have seen a full month of your own call data going through it. That is why our plan is month to month from the first day, with the first month free.

Do I need one if I already have voicemail and call it back? Voicemail recovers some callers and loses others, and the ones it loses are disproportionately new patients, who tend to call the next practice on the list rather than wait. The honest way to settle this is to measure how many of your missed numbers end up in your schedule within two weeks.

Will it cope with my schedule if my booking rules are unusual? Ask this directly and specifically, with your actual rules. Small practices frequently have the most idiosyncratic books, because the rules live in one person’s head rather than in a written template. GetHelpdesk.AI books following your appointment types, provider hours and block-outs, and the free first month is the time to prove that against your real schedule.

Where to Start

Count your calls for one month, and count the ones you miss. That single number decides whether any of this is worth doing, and it costs you nothing to find out. Our guide to finding your real missed-call number shows you how.

If it turns out you do miss calls, the next question is which shape of product fits, and that is the five facts framework. If your problem is specifically the lunch gap and the after-school rush rather than nights, read dental call overflow first. Our single-location page is written for a practice your size.

GetHelpdesk.AI figures on this page come from our own pricing and integrations pages.
