## Start With the Arithmetic

Every practice has a different number, so a headline hours figure is only useful if you can see how it was built. We do not publish a measured average of hours saved across practices, so this post shows the arithmetic and lets you put in your own call volume.

The formula is short:

**Hours saved per month = calls the AI completes x minutes of staff time each call would have taken / 60**

"Minutes of staff time" is wider than the call itself. It includes picking up, finding the slot, entering the appointment in the practice management system, and the voicemail and callback loop when nobody could answer.

## Where Front Desk Phone Time Goes

Most of the time sits in four places.

### Routine Calls

Hours, directions, parking, services, insurance acceptance and appointment confirmations. Each call is short, but they arrive all day and break up whatever the person was doing.

### Appointment Management

Booking new patients, rescheduling, confirming and handling cancellations. When the booking is written straight into the schedule through [PMS integration](/blog/integrate-ai-receptionist-with-dental-pms/), the second round of data entry goes away too.

### Pre- and Post-Visit Questions

Patients ask what to expect at a first visit, how to prepare, and what to do after a procedure. The answers follow the practice's own instructions, so an AI can give them the same way each time.

### After-Hours Voicemail

Calls that arrive overnight and on weekends pile up as voicemail. Someone has to listen, note the callback number, ring back and often try more than once. [The first two hours of Monday](/blog/the-first-two-hours-of-monday/) describes what that backlog looks like.

## A Worked Example

The table runs the formula for three imagined practices. **These are illustrations built from stated assumptions. They are not measured results.**

| | Smaller practice | Mid-sized practice | Busy practice |
|---|---|---|---|
| Inbound calls a month | 300 | 450 | 600 |
| Share of calls the AI completes without staff | 50% | 60% | 80% |
| Staff minutes each of those calls would take | 4 | 4.5 | 5 |
| Staff time freed | 600 min | 1,215 min | 2,400 min |
| **Hours a month** | **10** | **about 20** | **40** |

A few things follow from this.

- **40 hours needs several inputs to line up.** It takes a practice using the full 600-call monthly allowance, with the AI completing four calls in five, and each call costing five minutes of staff time. Most practices will land lower.
- **The share the AI completes matters most.** That depends on your call mix. Booking and rescheduling that fit your rules can be completed; billing disputes and clinical questions go to your team, as they should. [What a dental AI receptionist can and cannot handle](/blog/what-a-dental-ai-receptionist-can-and-cannot-handle/) draws the line.
- **Minutes per call are the easiest input to measure.** Time 20 of your own routine calls, including the notes, and use that figure.

### What the Hours Are Worth

The US Bureau of Labor Statistics reports [median receptionist pay of $18.27 an hour](https://www.bls.gov/ooh/office-and-administrative-support/receptionists.htm) (2025, all industries). At that rate the 20-hour example is worth about $370 of wages and the 40-hour example about $730, before payroll taxes and benefits. For comparison, GetHelpdesk.AI is $399 a month flat.

Those are wage equivalents. They become savings only if you reduce paid hours or use the time for work that earns more. For many practices the larger effect comes from calls that would otherwise reach voicemail, which is measured separately in [the ROI method](/blog/calculate-roi-ai-receptionist-dental/) and starts with [finding your real missed-call number](/blog/find-your-real-missed-call-number/).

---

## What the Plan Covers

At $399 a month, GetHelpdesk.AI covers up to 600 inbound calls a month, outbound calling, SMS follow-ups, a website chatbot and a dashboard of all calls. Because the dashboard lists every call, you can count the ones the AI completed and put that number into the formula. The service answers around the clock in 25+ languages and books into the practice management system following your scheduling rules.

## What a Team Does With the Time

Time returned from the phones is only useful if it goes somewhere. The usual candidates are:

- Giving the patient at the desk full attention at check-in
- Billing questions and insurance pre-authorizations that need investigation
- Following up with patients who have unscheduled treatment
- Lunch breaks that don't get interrupted, which matters for [staff burnout](/blog/ai-receptionist-wellness-strategy-dental-burnout/)

JR Dental Care is a published example of the phone side. Dr. Obdulia Rondon says calls used to sit in voicemail, and that Amy, the AI receptionist, now handles booking and rescheduling requests that fit the practice's rules while the team handles exceptions. The full account is in the [JR Dental case study](/case-studies/jr-dental/).

## Key Takeaways

- Hours saved = calls the AI completes x staff minutes per call / 60. Fill in your own numbers.
- In the worked example, 10, about 20 and 40 hours a month correspond to different call volumes and completion rates. The 40-hour case is the top of the range, not the typical one.
- The share of calls the AI completes matters most, and your call mix decides it.
- The wage value of the time is one part of the value. Calls that would have gone to voicemail are the other, and they are measured separately.
- Nothing here is a measured average of results across practices.

## Frequently Asked Questions

### How do you calculate the hours saved?

With the formula above. The inputs in the worked example are assumptions chosen to be easy to follow. Replace them with your call volume, the share of calls that are routine, and the time your team actually spends per call.

### What if we have lower call volume?

The hours scale with volume. At 300 calls a month and the assumptions above, the example comes to about 10 hours. A smaller practice may get more value from after-hours coverage and the calls that would otherwise be missed than from the time saved.

### Will call quality suffer if AI answers?

The AI answers from the practice information and scheduling rules you give it, so a routine question gets the same answer at any hour. It answers in under a second with no hold queue, and calls that need a person are handed to your team. [How AI hands difficult calls to your team](/blog/ai-hands-difficult-calls-to-your-team/) covers how that works.

### What about the time spent managing the AI system?

There is some. You review transcripts and summaries, and update the information the AI uses when your hours, providers or policies change. Every call is in the dashboard, so you can review as much or as little as you like. We do not have a figure for typical weekly review time, so track your own for the first month and subtract it from the hours saved.

### How quickly do we see results?

Most practices are taking live calls within five to seven days of kickoff. How much time you free up depends on your call volume and mix, so measure it over a few weeks rather than expecting a figure in week one.

### Can we measure our specific time savings?

Yes. The dashboard shows every call, so you can count what the AI completed and apply your own minutes-per-call figure.
