# GetHelpdesk.AI vs Viva AI: Flat vs Metered

## The Short Version

Viva is one of the few competitors that publishes a real price list, so this comparison can be done honestly and in full.

We charge a flat $399 a month, month to month, covering roughly 500 to 600 calls, with a one-time $500 setup fee. Viva, as published on 12 September 2026, charges $349 a month for Gold with 4,000 credits, $899 for Platinum with 7,000, and $1,199 for Diamond with 12,000, and meters usage at 10 credits per minute of call time.

Their entry price is $50 lower than ours. Their included minutes are less than half. That is the whole comparison in two sentences, and which one wins depends entirely on how much your phone rings.

## Do the Arithmetic Before Anything Else

Viva publishes its credit meter, which is to their credit and also the most important thing on their site: 10 credits per minute of AI call time, 5 credits per AI message, 1 credit per Office Optimizer question.

Convert it. The Gold plan's 4,000 credits is roughly **400 minutes of call time a month** if you spend nothing on messaging. Our $399 includes about **15 hours, roughly 900 minutes**, across 500 to 600 calls.

So at the entry tier, Viva is $349 for around 400 minutes and we are $399 for around 900. A practice taking 200 calls a month at three minutes each is using 600 minutes, which is already past Gold and into overage at $0.10 a credit, or a jump to Platinum at $899.

None of that makes Viva expensive. It makes Viva **variable**, and it puts the budgeting work on you. If your volume is low and steady, a meter can genuinely be cheaper. If your volume spikes in January, or you are growing, the meter charges you most in exactly the months you are busiest.

## Where We Are Genuinely Different

**One number, every month.** $399, flat, month to month. No credits, no overage, no per-minute billing, no after-hours surcharge, no hold-time charge. Your busiest month costs what your quietest month costs. For a practice that dislikes surprise invoices more than it likes a cheap floor, that is the whole argument.

**No tier gating.** There is one plan, so everything is in it. Our 25+ languages, emergency triage on your own protocol, transcripts and summaries for every call, unlimited simultaneous callers. With a tiered vendor you have to keep checking which plan the feature you liked actually lives in.

**Sixteen named systems, with the per-system truth.** Open Dental, Dentrix, Dentrix Ascend, Dentrix Enterprise, Eaglesoft, iDentalSoft, Curve Hero, PracticeWorks, Denticon, Cloud 9, Dolphin, OrthoTrac, athenahealth, eClinicalWorks, NextGen Enterprise and ModMed. Each has a page stating which actions are supported, partial or out of scope, because support genuinely varies by system. We are an authorized Open Dental API partner and the exclusive AI partner for iDentalSoft.

Viva names four systems directly on its DSO page and claims coverage of "95% of dental practice management systems through direct API connections." A percentage is not a list. If yours is in the 5%, you find out on the call.

**Unlimited simultaneous callers, sub-second answer.** No hold queue, no IVR menu, and three callers at once are three answered calls.

## Where Viva May Be the Better Fit

Genuinely, and you should weigh these.

**SOC 2 Type II.** Viva publishes one and we do not. That is an independent audit of security controls, and if your group has a procurement function that requires it, that requirement is real and we cannot meet it today. We are HIPAA compliant and sign a BAA, but those are different artifacts and we are not going to blur them.

**CareStack.** Viva names CareStack. We do not support it. If that is your system, talk to them.

**Very low call volume.** If you take 60 calls a month, the Gold meter will probably cost you less than our flat fee. A flat price is a bad deal for a genuinely quiet phone, and we would rather say so.

**More than 25 languages.** We handle 25+ with automatic detection, which covers the overwhelming majority of US dental practices. Viva publishes 100+ and mid-call switching. If you serve a community whose language is outside our set, that difference is decisive and easy to test in one call.

## How to Check Any of This Yourself

1. **Work out your monthly call minutes first.** Total calls times average length. Without that number neither quote means anything, and this is the one piece of homework that actually decides the comparison.
2. **Ask Viva for a real bill from a practice your size,** not a plan page. Metered pricing is only honest once you see month two.
3. **Book an appointment in a trial, then look in your own practice management software.** Not the dashboard. Yours.
4. **Call after hours with a real-sounding emergency** and check the escalation is your protocol, in your words, changeable without a support ticket.
5. **Interrupt it mid-sentence** and see whether it recovers.

## FAQs

**Is $349 cheaper than $399?**
On the headline, yes, by $50. On included call time, no: roughly 400 minutes against roughly 900. Compare the number you will actually use, not the number on the button.

**What happens when I run out of credits?**
Viva publishes overage at $0.10, $0.09 and $0.08 per credit depending on tier. At 10 credits a minute that is $1.00, $0.90 or $0.80 per additional call minute. Model a busy month before you choose a tier.

**What happens when I exceed your 500 to 600 calls?**
We talk, and high-volume and multi-location practices are quoted on volume and locations. We are not going to pretend a flat fee is infinite. The difference is that there is no meter running in the background while you find out.

**Is SOC 2 a dealbreaker if I am a single practice?**
Usually not. Most independent practices never ask for it, and HIPAA plus a signed BAA is the operative requirement. Groups with formal procurement often do ask, and there Viva has something we do not.

**Both of you say about a week to go live. Is that real?**
The connection is genuinely fast for both. What takes the time is your configuration: the appointment map, the escalation rule, the insurance answers. Budget real attention for that part regardless of vendor.

**Do you do recall and reactivation too?**
